Welcome to the Jragon Robotics, an after-school program for youth development in STEM and science!

We collect information to ensure your child's safety, provide effective programming, and communicate with you. This may include: Registration Information: Child's name, age, date of birth, grade, school, allergies, medical conditions, emergency contact information (parent/guardian names, phone numbers, emails), authorized pick-up persons. Program Participation Information: Records of attendance, progress in activities, and any specific accommodations or support needed. Communication Records: Emails, phone calls, or notes from discussions with parents/guardians regarding the child's participation. Photographs/Videos (Optional): With your explicit consent, we may take photos or videos of children participating in activities for program promotion (e.g., website, social media, newsletters) or internal use (e.g., documenting activities). Website/App Data (if applicable): If we use a program website or app for registration or communication, it may collect standard technical information like IP addresses or device types, but typically not personally identifiable information about your child directly through general browsing.

2. How Do We Use This Information?

We use the information we collect for the following purposes: Child Safety & Well-being: To respond to emergencies, manage allergies/medical needs, and ensure authorized pick-up. Program Operations: To enroll children, track attendance, plan activities, assess participation, and communicate with parents/guardians. Communication: To send you important updates, newsletters, event invitations, and other program-related information. Program Improvement: To understand participation trends and evaluate the effectiveness of our activities. Promotional Materials (with consent): If you provide consent, photos/videos may be used to showcase our program.

 

3. Who Has Access to This Information?

Program Staff: Only authorized staff members who need the information to perform their duties (e.g., instructors, administrators, emergency contacts) will have access to your child's data. Emergency Personnel: In an emergency, relevant medical or contact information will be shared with first responders. Third-Party Service Providers (if applicable): If we use external services for registration (e.g., online registration platform) or communication, they are required to protect your information and only use it for the purposes we specify. We carefully vet these providers. Law Enforcement: We will disclose information if required by law, such as a court order or subpoena.We DO NOT sell, rent, or trade your child's personal information to outside companies or marketers.

 

4. How Do We Keep Information Safe?

We take reasonable steps to protect the information we collect: Physical Security: Hard copies of records are stored in locked cabinets. Digital Security: Electronic data is stored on secure, password-protected systems with restricted access. Staff Training: Our staff are trained on privacy protocols and data handling best practices. Limited Access: Access to personal information is restricted to essential personnel.

5. Photos and Videos

We understand that you may have concerns about photos or videos of your child. We will always seek your explicit permission before using any photos or videos of your child for promotional purposes. You have the right to decline permission for photo/video use, or to withdraw your consent at any time. Please inform us in writing if you wish to do so. We will make reasonable efforts to honor your preferences regarding photo/video usage.

 

6. Your Rights and Choices

As a parent or legal guardian, you have the right to: Review the personal information we hold about your child. Request corrections to any inaccurate information. Withdraw consent for photo/video use or certain communications.
